The primary objective of this remediation project is to restore full audiovisual functionality to the Aspen Lodge Multi-Purpose Meeting Rooms following the failure of the primary audio digital signal processor (DSP). Due to the unavailability of the original uncompiled Crestron control source code, the system's control hardware must also be replaced to ensure Anthem Ranch retains full ownership and accessibility of their system programming moving forward.
The Audiovisual Contractor shall provide a turnkey "surgical" replacement. This requires the removal of the failed Audio DSP and proprietary Control System components, while successfully integrating new open-architecture control and DSP hardware with the existing, fully functional Crestron Video Distribution infrastructure, Lab Gruppen amplifiers, Epson projectors, and Shure microphones.
Additionally, a primary objective of this remediation is to establish secure, cloud-based or VPN-accessible remote monitoring. The new control and audio architecture must allow an authorized, off-site AV technician to securely log in, view system status, monitor audio levels, and push code updates without requiring a physical truck roll.
Finally, to provide the community with modern operational conveniences at a fiscally responsible cost, this scope requests separate pricing for three specific optional enhancements (detailed in Section VI). Bidders are asked to provide optional quotes for: a wireless mobile control interface utilizing inexpensive commercially-available tablets or existing staff smartphones; a commercial UPS battery backup to protect the new processor; and a portable digital audio mixer to support live choir events without requiring expensive, custom-wired closet infrastructure.
The Audiovisual Contractor shall carefully disconnect, remove, and surrender the following existing equipment to Anthem Ranch personnel:

The following existing equipment from the 2017/2018 installation remains functional and shall be retained, re-connected, and fully integrated into the new Control and DSP system. Do not quote replacements for these items.
Video Distribution System (To be commanded by new Control System via IP/RS-232):

All associated input/output cards (DMC-4K-HDCP2, DMC-4K-CO-HD-HDCP2, DMC-STRO, DMC-4K-HDO).

The Contractor shall provide, install, and program new Audio DSP and Control System hardware to replace the items removed in Section II. The new hardware must be capable of controlling the existing Crestron DM-MD16x16 video matrix via standard third-party API protocols.
1. Audio Digital Signal Processor (DSP) Provide a DSP capable of handling the existing microphone, line-level, and output routing requirements previously handled by the Biamp Tesira system.
Option A: QSC Q-SYS Core (e.g., Core 110f or equivalent with necessary I/O expanders).
Option B: Biamp TesiraForte X-Series (or equivalent modern Biamp architecture).
Option C: Symetrix Radius NX series.
2. Master Control System Processor Provide a master controller to provide ports for IR/serial, RS-232/422/485, Ethernet, and relay closures. The master controller shall be installed in the AV equipment rack.
Option A: QSC Q-SYS Core (utilizing the DSP as the unified control processor).
Option B: Extron IPCP Pro Series.
Option C: AMX NX Series.
(Note: A new Crestron processor may be proposed ONLY if the contractor guarantees compliance with Section V regarding unlocked source code).
Remote Management Capability: The proposed Master Control Processor and Audio DSP must natively support secure, enterprise-grade remote monitoring and management (e.g., QSC Q-SYS Reflect Enterprise Manager, Extron GlobalViewer, or equivalent). The system must provide real-time telemetry regarding processor health, touchscreen connectivity, and audio DSP status to an authorized remote technician.
3. User Interfaces (Touch Panels & Button Panels) Provide wall-mounted PoE touch panels (approx. 7-inch) for MP 1-3, and simplified PoE button panels for MP 4-5 and Aerobics (IF THEY PREVIOUSLY EXISTED) to match existing gang-box cutouts.
Option A: QSC Q-SYS TSC Series Touchscreens and Q-SYS Network Button Stations.
Option B: Extron TouchLink Pro (TLP) Series and Network Button Panels (NBP).
Option C: AMX Modero Series and Metreau Keypads.
System Functionality: The required hardware, system functionality, and system flow shall conform to the existing systems in order to share existing resources and minimize training requirements for the end user.
Integration with Existing Video: The new control system shall be programmed to seamlessly trigger video routing crosspoints on the retained Crestron DM-MD16x16 matrix switcher.
Source Code Ownership (CRITICAL): Upon completion of the project, the Audiovisual Contractor shall submit with the project close-out documents a complete set of all custom written code, un-compiled, and copies of the code manipulation software used to develop the code for all programmable devices, including Audio DSP and Control Systems (processors and user interfaces).
Testing: The Contractor shall verify all audio paths and matrix switching crosspoints are tested and verified prior to commissioning.
IT Coordination & Remote Access Setup: The Audiovisual Contractor shall proactively coordinate with Anthem Ranch’s IT management to establish a secure, approved pathway (such as a dedicated VLAN or VPN tunnel) for remote system access. The Contractor must successfully demonstrate off-site remote login, diagnostic visibility, and minor code modification capabilities to the Owner prior to final system sign-off.
Option 1: Wireless Tablet / Smartphone Control Interface The Audiovisual Contractor shall provide an option to configure a custom, user-friendly software interface (such as a responsive HTML5 web interface or dedicated app) accessible via mobile tablets or staff-issued smartphones. This will allow authorized staff to wirelessly control room volumes, switch video sources, and monitor system status from anywhere in the building via the Lodge’s Wi-Fi network. (Note: As the community intends to utilize existing staff-issued mobile devices, the contractor should quote software licensing and interface configuration labor only; no new tablet hardware is required).
Option 2: Commercial Rack-Mount Uninterruptible Power Supply (UPS) To protect the new Audio DSP and Control Processor from power surges, brownouts, and brief outages, the Contractor shall provide an option to install a standard commercial 1500VA rack-mounted UPS (e.g., APC, CyberPower, or SurgeX). The UPS must be capable of providing a graceful shutdown of the control components to prevent software corruption during a total power loss.
Option 3: Portable Digital Audio Console for Choir/Live Events The Contractor shall provide an option for a self-contained, portable digital audio mixer (e.g., Allen & Heath QU series, QSC TouchMix, or equivalent) to support live choir performances and complex events. The mixer shall support wireless device control for the operator and include necessary patch cabling to tie directly into the existing room audio wall plates, eliminating the need for permanent, custom-wired closet infrastructure.
