Any engineer, IT professional, or financially savvy resident looking at these specifications is going to instantly understand that this bid is packed with pure, unnecessary profit margin.
When a vendor writes the specifications for a contract they are bidding on, they rarely recommend the most efficient, cost-effective solution. They recommend the system that maximizes their bottom line. The original RFP was written with enterprise-level, large-venue specifications in mind, and Equalized responded with top-tier, touring-grade equipment to match it.
Here is a technical breakdown of the "pork" Equalized Productions is trying to sell Anthem Ranch, ranked by the largest unnecessary expenses. Even more importantly, we must ask the fundamental question for each component: Do we even need this?
1. Projectors (The $32,700 Overcharge)
The $400k Vendor Proposal: Three Barco G62-W11 11,000-lumen projectors at $14,800 each, plus $1,130 lenses. Total cost: ~$47,790.
Meets Our Needs at Half the Price: Standard commercial 7,000 to 8,000-lumen laser projectors (e.g., Panasonic or Epson) cost roughly $5,000 each. Total cost: ~$15,000.
The Reality: The human eye physically lacks the resolving power to differentiate between premium Barco optical glass and a standard commercial lens from 75 feet away. We are paying a massive premium for an unnoticeable difference.
Do We Even Need This?: NO. Our current projectors still work perfectly. We do not need to throw away functioning video equipment just because an audio server failed in the AV closet.
2. Projection Screens (The $19,200 Overcharge)
The $400k Vendor Proposal: Three Draper AccessV 150-inch screens with TecVision ALR (Ambient Light Rejecting) fabric at $8,900 each. Total cost: ~$26,700.
Meets Our Needs at Half the Price: Standard matte white tensioned screens cost roughly $2,500 each. Unless facing direct, uncontrollable sunlight, ALR fabric is an unnecessary luxury when paired with modern laser projectors. Total cost: ~$7,500.
Do We Even Need This?: MAYBE, BUT ONLY LIKE-FOR-LIKE. Our current screens do have some minor rips and cosmetic marks, though they are still functional. If the community decides they need replacing, it is perfectly reasonable to buy standard, like-for-like replacements for $2,500. There is absolutely no justification for upgrading to ultra-premium $8,900 luxury screens just to pad the bill.
3. AV-over-IP (AVoIP) Video Distribution (The $15,000+ Overcharge)
The $400k Vendor Proposal: Visionary Solutions AVoIP. This requires $1,340 to $1,460 encoders/decoders at every single screen, plus a $3,500 dedicated 40G Netgear switch. Total cost: ~$22,700. AVoIP is designed for infinite scalability across giant corporate campuses, introducing massive hardware cost and zero-value network complexity to our fixed, 5-room lodge.
Meets Our Needs at Half the Price: Standard commercial HDBaseT matrix routing. Total cost: ~$5,000 to $7,000.
Do We Even Need This?: NO. The wiring that connects the AV closet to the projectors is already in place and works. Even if the old Crestron video switcher in the closet needs to be swapped out to break free from its proprietary programming, a standard commercial replacement switcher costs a few thousand dollars. We absolutely do not need to abandon our existing infrastructure to build an entirely new, highly complex IT network from scratch.
4. Touchscreen Interfaces (The $13,200 Overcharge)
The $400k Vendor Proposal: Proprietary Q-SYS touch panels. The 10.1-inch screens are quoted at $3,465 each, and the 7-inch screens at $2,100 each. Total cost: ~$18,000.
Meets Our Needs at Half the Price: Standard, non-proprietary commercial tablets or iPads running the control app. Total cost: ~$4,800.
The Reality: Hardware depreciates. A $3,465 proprietary panel uses processors that will be obsolete in 7 years. You could buy an $800 commercial tablet today, throw it in the trash 5 years from now, buy a brand new one, and still have spent less than half the cost of the vendor's premium panel.

5. Audio Mixing (The $7,300 "Nightclub" Overcharge)
The $400k Vendor Proposal: An Allen & Heath SQ-RACK (48-channel, 96kHz digital touring mixer), a stage box, and a Dante network card. Hardware cost: ~$9,800.
Meets Our Needs at Half the Price: A 16-Channel Digital Rack Mixer (e.g., Behringer X32 Rack or similar). Hardware cost: ~$2,500.
Do We Even Need This?: Anthem Ranch events rarely, if ever, require more than 4 to 8 microphones simultaneously. A 48-channel touring matrix is meant for miking a full orchestra or a 10-piece rock band. It perfectly mirrors the commercial rental rig used for "The Club" jazz nights, while making the system overly complex for volunteer groups like the choir.
6. Microphones (The $2,400 Overcharge)
The $400k Vendor Proposal: Six Earthworks studio recording microphones at $600 each. Total cost: $3,600.
Meets Our Needs at Half the Price: Industry-standard professional hanging choir mics (e.g., Shure or Audio-Technica) at $150-$200 each.
Do We Even Need This?: NO. The existing Shure wireless microphone receivers in the lodge are completely functional. High-end studio/touring mics are an unnecessary luxury tax, and they are fragile and prone to feedback if not EQ'd perfectly by a professional sound engineer.
If the projectors, microphones, and amplifiers still work, why are we being asked to spend $400,000 to replace the entire lodge?
Because of what is inside the AV closet.
Based on technical diagnostics from April, the current system failed because exactly one component—the Biamp DSP Audio Server—got stuck in a reboot cycle. Because the original "brain" of the system (the Crestron controller) was locked behind proprietary, binary-only programming, replacing that single audio server became a complex IT headache.
Instead of finding a smart, targeted solution to replace the broken "brain" in the AV closet and restore the existing functional equipment, the vendor is using this as an excuse to throw away the entire system and sell the community a $400,000 concert-arena replacement.
The Hidden Labor Costs & Vendor Lock-In Because the proposed system uses highly customized touring hardware and a massive AVoIP network, Equalized has quoted $45,000 for installation labor, programming, and commissioning in the base bid alone.
So the bid is technically not proprietary, but handing the configuration files and passwords for a massively complex, enterprise-grade IT network to a standard local AV technician doesn't solve the problem. You cannot easily service a 48-channel Dante matrix and an AVoIP video routing system without highly specialized expertise. We would still be tethered to high-priced enterprise programmers for ongoing maintenance, paying a massive "complexity tax" for a system our lodge simply does not need.
Anthem Ranch does not need to spend $400,000 to get great sound and reliable video.
By demanding an independent needs analysis and stripping out the unnecessary "concert-arena" hardware, we can install a bulletproof, user-friendly, industry-standard control system that utilizes our existing functional equipment where possible. We can fix the actual problem in the AV closet—and we can do it for a fraction of the proposed price.
Tell the Board to stop the blank check. Reject the vendor-written RFP.
